Peeple HR Ltd is committed to ensuring that your privacy is protected. This policy outlines how we collect, use, share and protect your personal data.

Who is responsible for processing of your personal data?

Peeple HR Ltd (C104150) operates this website and provides human resources services including recruitment, payroll, compensation management, HR transformation, and performance management. The company is registered in Malta.

What personally identifiable information do we collect, and when?

We collect several categories of personal data:

  • Contact details — name, surname, email, telephone number and physical address, used to contact you and respond to your queries (on a legitimate interest basis).
  • Personal preferences — marketing and cookie preferences, IP addresses, browser identification, web beacons and tags.
  • Automatically collected data — web browser and mobile device data shared during site interactions (see the Cookie Policy for more detail).
  • Survey information — quality-related survey responses.

When you request services or submit enquiries through chat or other communication methods, you provide identification details appropriate to your enquiry. Newsletter subscribers may provide contact information for service reminders and periodic communications.

For project-specific work, we may request company composition, turnover, employee information, wages, compensation packages, departmental structures, budgets and skills maps. This data is not collected through the website; additional privacy information is supplied when it is collected.

Sensitive information provided to our company will be processed for the reason it would have been collected, as well as to comply with all relevant laws and regulations.

Job applicants submit application details including a CV and, where relevant, qualification certificates. Application information is evaluated against client vacancies.

We document all forms of communication between the data subject and Peeple on the data subject's record held internally, if relevant.

Why and how we use your personally identifiable information

  • Service delivery — providing the services and features you request through the site.
  • Rights and safety protection — preventing or detecting fraud, abuse and illegal activities; complying with court orders and applicable law.
  • Research and analysis — understanding customer behaviour and preferences regarding site usage.

Tools to manage the data we collect

Web browsers and mobile device platforms offer tools to control information collection and sharing. We encourage you to familiarise yourself with the controls available on your device for managing cookies and location sharing.

Data minimisation

We aim to never collect or store any information that is not required for the delivery of the services to which you subscribe.

We take reasonable steps to destroy or de-identify personal information that is no longer needed for the purpose it was collected for, or required for maintenance obligations, in accordance with GDPR.

Sharing of personally identifiable information

We may share personal data with:

  • Company affiliates (Saint James Operations Group companies).
  • Third-party service providers for credit card and payment processing, delivery management, data management and servicing, email distribution, research and data analysis, and service administration.

We are not responsible for the privacy policies of the third-party service providers but do check from time to time that our partners and suppliers are compliant with local privacy and data protection law.

We may also transfer personal data upon a business sale, transfer, reorganisation, spin-off, dissolution or liquidation.

Protection and management of personally identifiable information

We comply with EU data protection law and applicable confidentiality guidelines for the HR sector. Appropriate resources protect data from loss, misuse, unauthorised access, modification or disclosure.

We use a variety of security measures, including authentication tools to maintain the safety of your personal data.

Personal data resides behind secured networks accessible only to authorised personnel, protected by industry-standard security measures including secure physical firewalls, with continuous IT support.

Personal data is stored in Malta on-site, with selective secure data-centre backups.

We will never sell your data, but we may share your data with data recipients for processing purposes only.

Any data transfers to other countries comply with GDPR protection standards.

We retain personal data for as long as a legitimate interest exists to fulfil the purpose it was collected for, unless otherwise legally required:

  • General communications/enquiries — up to one year after the communication scope ends.
  • Job applications — up to 6 months, for consideration against related vacancies; you may request earlier erasure.
  • Selected candidates — personal data processing follows the Data Processing Agreement presented before employment.

Your rights related to your personal data

Under GDPR you have a number of rights, exercisable by emailing info@peeple.com.mt:

  • Right of access — to be informed of, and request access to, the data we process about you. We respond within one month; no fee unless the request is manifestly unfounded or excessive.
  • Right to rectification — request that we update inaccurate data.
  • Right to restriction — request a temporary or permanent halt to processing.
  • Right to erasure — request deletion of your personal data.
  • Right to object — oppose marketing communications, or object to processing based on your personal circumstances, at any time.
  • Right to data portability — request a copy of all personal data we hold about you in electronic format, and to transmit this data to another party.
  • Right against automated processing — oppose profiling that has legal effects on you.
  • Right to withdraw consent — you may withdraw consent at any time.

Peeple HR Ltd will endeavour to continue to provide the services, however by withdrawing your consent, the efficiency of these services may be affected.

If you are based in the EU and have concerns, you may also contact your local data protection regulator.

Compliance with regulators

We comply with valid court orders or subpoenas requiring us to provide information to law enforcement or courts, upon legal scrutiny and validity confirmation in the operating country.

Changes to our Privacy Policy

Applicable law and our practices change over time. If we decide to update our Policy, we will post the changes on our sites.
